We are committed to protecting the privacy, confidentiality, and integrity of personal information entrusted to us by wedding hosts, families, and authorized event coordinators. This Privacy Policy details how we collect, handle, protect, and retain your data when you use the Vows & Ledger mobile application (Package: com.spj.wedding_planner) and web portal.
1. Overview & Application Identity
Vows & Ledger (Android Package Name: com.spj.wedding_planner) is a dedicated multi-platform wedding invitation and guest management system. The application serves as a private, collaborative ledger enabling wedding families and coordinators to organize guest lists, track ceremony-wise RSVPs (e.g., Haldi, Sangeet, Muhurtham, Reception), log calling statuses, and coordinate invitation dispatches.
Core Privacy Principle: Vows & Ledger is built strictly for private wedding coordination. We do not sell, rent, monetize, or harvest personal data. We do not display third-party advertisements or engage in behavioral tracking.
2. Information Collection & Usage
A. Account & Authentication Data (Google Sign-In)
When authorized callers and administrators sign in via Google Authentication, we collect basic profile details provided by Google:
- Full Name and Email Address.
- Unique Authentication User Identifier (Firebase Auth UID).
- Profile Avatar URL (if available).
Purpose: Used solely to authenticate users, enforce role-based access controls (Admin vs. Caller), and attribute calling progress (e.g., recording which caller contacted a guest).
B. Guest & Invitation Ledger Data
Wedding hosts and authorized coordinators enter guest information into the private ledger:
- Guest and family names.
- Phone numbers and city/location.
- Wedding side assignment (Groom, Bride, Mutual) and Circle (Family, Friends, Colleagues, VIP).
- Ceremony allocations (e.g., Haldi, Sangeet, Muhurtham, Reception).
- Call status (To Call, Called, Follow-up, Unreachable), WhatsApp dispatch status, and RSVP status.
- Attendee headcounts (Adults count and Kids count) and internal calling notes.
Purpose: To calculate real-time ceremony headcount projections, prevent duplicate calling among family members, and manage invitation logistics.
C. Device & Contacts Permissions (Optional Contact Picker)
The application includes an optional Contact Picker feature to simplify importing wedding guests from your device address book:
Strict Contact Privacy Protections:
- No Background Harvesting: The app accesses contacts only upon explicit user interaction with the contact picker.
- Explicit Selection Only: Only the specific contact records you choose to import are added to your ledger.
- Zero Address Book Syncing: We never scan, scrape, upload, or store your unselected contacts or complete address book.
- No Resale or Marketing: Contact information is never sold, shared with third parties, or used for advertising.
D. Telephony & WhatsApp Integration
When you initiate a phone call or WhatsApp message from a guest card:
- Direct Dialer Launch (
tel:): Opens your device's standard telephone dialer with the guest's number pre-filled. We do not record calls or access call audio. - WhatsApp Dispatch: Launches the official WhatsApp application or web portal with a pre-filled invitation template. We do not read your private WhatsApp conversations.
3. Third-Party Services & Infrastructure
Vows & Ledger leverages secure, industry-leading cloud infrastructure provided by Google Cloud Platform and Firebase:
Firebase Authentication
Handles OAuth 2.0 Google Sign-In and secure session management.
Cloud Firestore
Provides encrypted real-time data persistence and multi-device synchronization.
These services are operated under Google Cloud's robust privacy certifications (ISO/IEC 27001, SOC 1/2/3) and data processing terms.
4. Data Security & Retention
Security Measures: We employ enterprise-grade security protocols to protect your information:
- Encryption in Transit: All data exchanged between your device and Firebase servers is encrypted using modern SSL/TLS 1.3 protocols.
- Encryption at Rest: Cloud Firestore database records are encrypted using AES-256 encryption.
- Access Gating: Only verified callers approved by the wedding administrator have read/write access to the ledger.
Data Retention: Guest and ceremony data is retained only for the duration of the wedding event planning and coordination lifecycle. Once the event cycle is concluded, wedding hosts can export and permanently delete the dataset.
5. User Rights & Data Deletion Requests
Under applicable data protection regulations (including GDPR, CCPA/CPRA), users and guests have comprehensive rights regarding their personal data:
- Right to Access: You may request a copy of the personal information associated with your account or guest record.
- Right to Rectification: You may correct or update any inaccurate or outdated information.
- Right to Erasure (Data Deletion): You may request the permanent deletion of your account, guest records, and calling history.

6. Children's Privacy
Vows & Ledger is intended for adult wedding hosts and authorized family coordinators. While headcount numbers may include children attending the wedding festivities as part of family units, the application does not knowingly collect personal data directly from children under 13.
7. Policy Updates & Amendments
We may periodically update this Privacy Policy to reflect application improvements, platform changes, or evolving regulatory standards. Any modifications will be posted directly on this page with an updated “Effective Date.” Continued use of the application following updates indicates acceptance of the amended terms.
